PROJECT & FIELD OPERATIONS

Winning the job is half of it. The other half is running it.

Marketing gets a lot of attention and the job after the deposit gets almost none. But a customer who never hears from you between the contract and the crew arriving is a customer who leaves a three-star review about communication, not craftsmanship.

TL;DR

We extend the same system past the sale: projects broken into phases with real dates and owners, crew scheduling that cascades when something slips, field capture on site, and automatic customer updates at every checkpoint — all synced back to the CRM that won the job.

WHAT CHANGES

The outcomes this is accountable for.

Customers always know what is next

Each phase checkpoint fires the update automatically. Nobody on the crew has to remember to text.

Delays surface before the customer finds them

When one phase slips, the schedule cascades and you can see the impact the same day rather than the following week.

The sold job becomes the scheduled job

No re-keying between the CRM and a whiteboard. Status flows back to the pipeline and triggers the review request on completion.

WHAT’S INCLUDED

The pieces, and what each one does.

Projects & phases

A job is a sequence of dependent phases, and treating it as one block is why schedules slip quietly.

  • Templated phase structures per job type, so a new project is set up in minutes
  • Real dates, durations, owners, and dependencies between phases
  • Variance visible against the original plan, not just against last week
  • Checkpoints per phase, each with the customer communication attached to it

HOW IT GOES

What actually happens, and when.

  1. Week 1Map your real job types and the phases each one actually runs through
  2. Week 2Phase templates, crew setup, and checkpoint communications drafted and approved
  3. Week 3CRM sync wired, field capture configured, pilot on live jobs
  4. Week 4Crew training and rollout across the board
  5. OngoingTemplates refined from what actually happens on site

Every engagement is scoped to what your business actually needs — you turn on the layers that matter and leave the rest. See the whole system.

BEFORE YOU ASK

Frequently asked.

Sometimes, sometimes not. If you already run something your crews use and like, we integrate with it and focus on the customer communication layer. If you are running on a whiteboard and a group chat, it replaces that.

That is the whole risk, so the field side is deliberately minimal — a phone view, a checklist, a camera. Anything that takes a crew more than a minute per checkpoint does not survive contact with a real job site.

Subs can be assigned to phases and receive their own schedule and notifications without getting access to the rest of your business.

Yes. A one-day service call has fewer phases than a six-month build, but the same principle applies: the customer hears from you on schedule without anyone remembering to send it.
